What type of information do we have?

We currently collect and process the following information:

  • Personal identifiers, contacts, and characteristics. These include

  • Name, address, contact telephone number, contact email.

  • If you are booking on behalf of a business or group we will ask you to provide the name and contact details for that business or group.

  • We will ask you to provide the names of all guests staying with us for the duration of your booking, including children.

How do we get the information and why do we have it?

Most of the personal information we process is provided to us directly by you for the purposes of making a booking. This information is provided to us by you by email, phone call, booking form, and/or social media message. The information provided by you allows us to fulfill our contractual obligations to you ie. make the booking for your group, to send any invoices, and to confirm or make any amendments to your booking.

We will also use your booking information to make a fire plan for each group. Your booking information may also be passed on to our insurers in the event of a claim.

We also receive personal information indirectly, from the following sources in the following scenarios:

A third party may book our accommodation on your behalf as a part of a group, club, or on a course, you have booked on to. They may be asked to provide your contact details to us in order to provide information on your stay, to send invoices and for our fire plans, and for insurance purposes should a claim arise.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting info@londrylloutdoors.com

(b) We have a contractual obligation.

(c) We have a legitimate interest.

What do we do with the information we have?

We use the information that you have given us in order to make a booking, including contacting you with the booking confirmation, accommodation details, details on invoicing and monies owed, and to make a fire plan.

We may share this information with 3rd parties including our insurance company and broker, 1st choice insurance, and MG insurance Consultants Ltd should a claim involving your booking or a guest named in your booking arise.

Your information may also be used to contact you if there are any damages to our property caused by you or a named person on your booking or persons visiting a named person. Your information may be shared with a 3rd party should monies be sought for reparation of damage caused.

How we store your information.

Your information is securely stored in a separate locked office at Lon Dryll Outdoors. Paper information is stored in a locked filing cabinet and digital information is kept on a password-protected computer with up-to-date virus and security software.

We keep your information for as long as necessary to complete a booking and be completely satisfied that we don’t need to contact you again regarding that booking and stay with us. That will include any contact needed for damages or costs arising to our property from your stay. We will then dispose of your information by shredding all paper information and permanently deleting digital data from our computer systems.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
